In patient advocacy, having helpful first meetings is important. But sometimes, even if the consultation meeting went well, potential clients don’t sign the contract. If you’ve ever thought, “Why didn’t they sign on to my services?” you’re not alone! Luckily, there are simple ways to make sure those first meetings turn into lasting client relationships. Here are the proven steps I use to go beyond just one meeting and sign new clients consistently!

The 5 Pillars to a Strong Advocacy Practice

Before we start, let’s talk about the five pillars to a successful practice: Be, Do, Have, Create, and Execute. These are about staying positive, showing up regularly, using your resources, sharing what’s special about you, and trusting your process. All the steps we talk about here connect with these pillars!

Step 1: Follow Up Regularly

DO – Showing Up Consistently

Following up is the best way to turn that first meeting into a signed client. After a consultation meeting, clients may need some time to think about what you talked about. A follow-up message within 24 hours shows you care and keeps the conversation going. You can share a quick recap of your talk, answer questions, and explain the next steps. Try checking in weekly after that, with helpful tips or stories to show them how you make a difference.

Step 2: Show Why You’re Unique

CREATE – Creating Value That Shines

When following up, remind clients of your unique strengths. This is part of the “Create” key—showing what makes you different. A personalized message can highlight how you’ll solve their needs. For example, make a list of the top reasons to work with you, like helping clients understand medical bills or giving them ongoing support. These reminders help clients see the special value you bring.

Step 3: Trust the Process & Keep Going

EXECUTE – Sticking With It

Not every client signs up right away, and that’s okay! Having patience and trusting your system is part of “Execute”—sticking with your process. For example, one client took five months to sign up, but regular check-ins paid off in the end. Tools like reminders can help you stay organized and make sure no client slips through the cracks. A little persistence can go a long way!

Turning Leads Into Lasting Clients

By following these three steps—consistent follow-ups, highlighting your unique value, and trusting your process—you’re setting up your practice for success. Turning consultation meetings into clients is about building trust, communicating, and showing clients you truly care. With these steps, you’ll see your leads turn into loyal clients and watch your advocacy practice grow.
